O poziciji
Tražimo osobu koja će pružati operativnu i organizacijsku podršku CEO-u. Riječ je o ulozi sa širokim rasponom odgovornosti koja uključuje različite zadatke, od administrativnih i organizacijskih do logističkih. Neki zadaci bit će unaprijed poznati, dok će se neki tek definirati ovisno o trenutnim potrebama tvrtke. Upravo zato riječ je o poziciji u kojoj je naglasak na dinamici i raznolikosti posla.
Ova uloga najbolje odgovara osobi koja se dobro snalazi u okruženju gdje nije sve unaprijed detaljno definirano. Tražimo nekoga tko sam prepoznaje što je potrebno napraviti, preuzima odgovornost i dovodi zadatke do kraja, bez potrebe za stalnim podsjećanjem ili dodatnim usmjeravanjem.

Što ćete raditi
Vaše odgovornosti obuhvaćat će nekoliko područja, a njihov će se fokus mijenjati ovisno o aktualnim potrebama tvrtke.
Podrška CEO-u
● priprema poslovne dokumentacije, uključujući obrasce, prijave, ugovore i druge dokumente koji zahtijevaju pažnju na detalje
● prikupljanje i analiza informacija, istraživanje mogućih rješenja te priprema sažetih pregleda koji olakšavaju donošenje odluka
● organizacija sastanaka i prateće logistike, uključujući koordinaciju termina, pripremu materijala te rezervaciju putovanja ili restorana kada je to potrebno
● slanje i zaprimanje pisama i pošiljaka te organizacija kurirskih usluga
Uredske operacije i administrativna podrška
● briga o uredskom prostoru i osiguravanje da sve potrebno za svakodnevni rad uvijek bude dostupno
● doček klijenata i poslovnih partnera koji dolaze u ured te stvaranje ugodnog i profesionalnog okruženja
● koordinacija s dobavljačima i vanjskim pružateljima usluga, poput uprave zgrade, servisnih službi, čistačica te dobavljača opreme
● pravovremeno uočavanje i rješavanje manjih operativnih izazova prije nego prerastu u veće probleme
● administrativna podrška različitim timovima unutar tvrtke, uključujući pripremu dokumentacije, vođenje evidencije i organizaciju arhive
● logistička podrška timu kada je potrebna
● preuzimanje zadataka koji ne pripadaju jasno nijednoj drugoj ulozi, ali ih je potrebno kvalitetno i pravovremeno riješiti

Samostalnost i dobra procjena

Ne morate imati tehničku pozadinu, ali se brzo snalazite u novim alatima i digitalnim sustavima. AI alati poput Claudea i ChatGPT-a koristite u svakodnevnom radu kako biste ubrzali i unaprijedili svoj posao.
Prethodno iskustvo u ulozi asistenta, administratora ili office managera može biti prednost, ali nije uvjet.

The Role
This is a broad, hands-on support role reporting directly to the CEO. You will handle a wide range of tasks - some administrative, some logistical, some that simply need someone reliable to own them. No two weeks will look exactly the same.
We are not looking for someone who needs a clearly defined job description to feel comfortable. We are looking for someone who sees what needs doing and does it with good judgment, without being asked twice, and without considering any task beneath them.
This role is the right fit for someone who is organised, positive, and genuinely enjoys making other people's working lives easier. If you get quiet satisfaction from a well-managed inbox, a smoothly run office, and the knowledge that things work because of you - this is for you.
What You Will Do
Your responsibilities will span several areas. The split between them will shift depending on what the company needs at any given time.
Supporting the CEO
● Preparing documents - filling in forms, applications, agreements, and other paperwork that requires attention to detail.
● Researching, finding information, summarising options, and preparing briefing notes when decisions need to be made.
● Coordinating meetings and logistics - scheduling, preparing materials, booking travel and restaurants when needed.
● Receiving packages, handling courier bookings, and managing physical mail.
Office Operations and General Administration
● Keeping the office stocked and functional - ordering supplies, managing consumables, making sure the basics are always in place.
● Being the first point of contact for clients arriving in person - welcoming guests and making them feel comfortable.
● Coordinating with vendors and service providers - handling routine communications with building management, cleaning services, equipment suppliers, and others.
● Flagging and resolving small operational issues before they become bigger ones.
● Handling a variety of administrative tasks across the company - document preparation, record keeping, filing, and coordination.
● Supporting the team with logistics and coordination when needed.
● Taking on tasks that do not fit neatly into another person's role — and doing them well.
Who We Are Looking For
The most important qualities for this role are not found on a CV. They are about how you work and how you approach things.
You are reliable above everything else.
When you say you will do something, it gets done. On time, to a good standard, without needing to be chased. This is the single most important thing we are looking for.
You are organised without being rigid.
You keep track of multiple things at once, you notice when something is about to fall through the cracks, and you build simple systems to make sure it does not. But you are also flexible - you adapt quickly when priorities change.
You have good judgment.
You understand the difference between something that needs to be escalated and something you can handle yourself. You do not bother people with things that do not need their attention, and you do not sit on things that do.
Your written communication is clean and professional.
You write clearly, correctly, and with the right tone for the context. In Croatian and English.
You are an advanced user of technology.
You do not need to be a developer, but you can pick up new tools quickly, and you are not intimidated by software. You are very comfortable with AI tools (Claude, ChatGPT) and use them to speed up your own work. This is a must.
Previous experience in an assistant, coordinator, or office management role is helpful but not required.
